A SMART MEETING ROOM SCHEDULING AND REAL-TIME MANAGEMENT SYSTEM OF OCCUPANCY DETECTION TO FORD ROMANIA
Abstract
Working meetings are indispensable events in every company, where employees and business partners have the opportunity to share knowledge and information and also to make important decisions. In the informational society, at the level of multinational companies, which have more conference rooms, it is very important to have an efficient management of them. In most large companies with more meeting rooms, management of their availability is usually based on predefined schedules that can create inefficient situations (for example, a room is heavily used and other not at all), without had an overall view of free rooms. Thus, in this study we aim to create a meeting room management system at Ford Romania to cover the challenges of different booking configurations, errors and difficulties in meeting planning or finding available meeting rooms. Application, generically called "Smart Meeting Room" aims to facilitate the reservation system of a Ford Company meeting room and eliminating the risk of overlapping meetings. "Smart Meeting Room" is achieved using the C # programming language, the Microsoft Visual Studio platform (to create the graphical interface) and SQL Server (creating of the database). The graphical interface is trendy with the features of a modern and intuitive design, offering easy navigation for any type of visitor and the structure of the pages is clear, minimalist but also modern at the same time. Implementing the "Smart Meeting Room" application at Ford Romania will allow to quickly check the availability of a room, through easy and real-time accessibility, easy appointment, modification or cancellation, thanks to the highly intuitive calendar format due to the interactive interface, email notification of the meeting participants, rescheduling / canceling appointments, and eliminating the possibility of double-booking.
